Privacy Notice
In brief: Recruit.Cool processes only the personal information needed to provide recruitment services, respond to enquiries and maintain the voluntary Talent Network. Recruit.Cool does not sell personal data.
1. Who is responsible for your data?
Laura Herman, trading as Recruit.Cool, is the controller of personal data described in this notice. Recruit.Cool is an independent recruitment practice based in Romania and working internationally.
To exercise your data-protection rights or ask a privacy question, use the Recruit.Cool Privacy Request form.
2. What information may be processed?
Talent Network members and candidates
Information may include your name, contact details, location, LinkedIn or other professional profile, CV, employment history, education, skills, seniority, opportunity preferences, communications, interview notes and information you voluntarily provide.
Potential candidates identified during searches
Recruit.Cool may process limited professional information obtained from public professional sources, recruitment platforms, referrals or information shared by recruitment clients. This may include your name, role, employer, professional experience, location and public profile link.
Hiring clients and business contacts
Information may include your name, work contact details, employer, job title, hiring requirements, meeting information and business correspondence.
Website visitors
The hosting provider may process standard technical information needed to deliver and secure the website, such as IP address, browser and device information, request logs and timestamps.
3. Why is information processed?
Personal data may be used to:
- identify and assess potential candidates for relevant roles;
- contact candidates and discuss possible opportunities;
- operate the voluntary Recruit.Cool Talent Network;
- introduce candidates to hiring organisations with appropriate transparency;
- manage recruitment processes and business relationships;
- respond to enquiries and data-protection requests;
- meet legal obligations and establish or defend legal claims; and
- maintain the security and operation of the website and services.
4. Lawful bases
Depending on the context, processing is based on one or more of the following:
- Consent, including when you choose to join the Talent Network for future opportunities. You may withdraw consent at any time.
- Legitimate interests, including identifying and contacting relevant professionals, providing recruitment services, managing business relationships and maintaining security, balanced against your rights and expectations.
- Steps before or performance of a contract, where applicable.
- Legal obligations that apply to Recruit.Cool.
You have the right to object at any time to processing based on legitimate interests. Recruit.Cool will stop that processing unless there are compelling legitimate grounds or it is needed for legal claims.
5. Talent Network and retention
When you submit the Talent Network form, the form records the information you provide, your uploaded CV, your consent and the submission date. Talent Network information is retained for up to 24 months from submission unless you withdraw consent earlier. Recruit.Cool may invite you to renew your consent before that period ends. If you do not renew, your Talent Network record will be deleted or anonymised unless it must be retained for a separate legal reason.
Information connected to an active recruitment process, client relationship, contract, legal obligation or claim may be retained for a different period appropriate to that purpose. Information about sourced potential candidates is reviewed periodically and removed when no longer relevant.
6. Who may receive information?
Information may be shared, where necessary, with:
- hiring organisations considering you for a role;
- recruitment platforms through which a relevant search is managed;
- service providers supporting form collection, scheduling, website hosting, communication, security and professional administration; and
- professional advisers, regulators or authorities where legally required.
Recruit.Cool does not sell personal data. A CV will not be published on this website.
7. Service providers and international transfers
Tally BV, based in Belgium, provides the Talent Network and Privacy Request forms and processes submitted information on behalf of Recruit.Cool. Calendly provides external meeting scheduling. Cloudflare provides website delivery and security. LinkedIn is used as an external professional networking platform.
Some providers or hiring organisations may process information outside the European Economic Area. Where required, appropriate safeguards are used, such as an adequacy decision or approved contractual protections. The privacy policies of external services also apply when you visit their websites.
8. Cookies and external links
Recruit.Cool does not currently use advertising pixels, analytics tools or non-essential cookies on this website. Standard technical data may still be processed by the hosting provider to deliver and secure the site.
Calendly, Tally and LinkedIn are opened as external websites rather than embedded services. Those services may use cookies or similar technologies under their own privacy and cookie policies.
9. AI-supported working methods
Recruit.Cool may use AI-assisted tools to support market research, organise information, improve workflows and reduce repetitive administration. AI is not used to make solely automated decisions that determine whether a candidate is hired or rejected. Candidate assessments, shortlists and recommendations remain subject to human review and judgement.
10. Your rights
Subject to applicable law, you may have the right to:
- request access to your personal data;
- ask for inaccurate information to be corrected;
- request deletion or restriction of processing;
- object to processing based on legitimate interests;
- receive certain information in a portable format;
- withdraw consent without affecting earlier lawful processing; and
- complain to a data-protection authority.
Submit a request through the Privacy Request form. Recruit.Cool may request limited additional information when reasonably necessary to verify your identity.
You may also lodge a complaint with Romania’s supervisory authority, the National Supervisory Authority for Personal Data Processing (ANSPDCP), or the supervisory authority in your country of residence or work.
11. Security and changes
Reasonable organisational and technical measures are used to protect personal data and restrict access. No online service can guarantee absolute security.
